Privacy Policy

Which WayPoint product is this? This Privacy Policy govern the WayPoint project-management application at waypoint.construction — the software general contractors, subcontractors, and homeowners use to run a construction project. They are separate from the Privacy Policy for WayPoint Marketplace at waypoint.contractors, the bid marketplace that connects homeowners with contractors. In short: We collect what is needed to run your construction project — your account and company details, the plans and project data you upload, and limited technical data. We share it with the other participants on your project, and with the vendors that run the software (hosting, payments, email, SMS, AI processing). We do not sell your personal information, and we never see your full card or bank-account numbers. Text and voice notifications are optional and you can turn them off.

1. Overview

This Privacy Policy explains how Waypoint Dynamics, Inc. (“WayPoint,” “we,” “us”), a Delaware corporation, collects, uses, and shares information when you use the WayPoint construction project-management application at waypoint.construction (the “Service”). It should be read together with our Terms of Service.

2. Information We Collect

Information you provide

  • Account information — name, email address, phone number, role (general contractor, subcontractor, or homeowner), and authentication credentials. Passwords are stored only in hashed form by our authentication provider; we never see them in plain text.
  • Company and profile information — company name, address, service areas, trades, license and insurance details, W-9 and tax-identification information, and documents you upload.
  • Project content — floor plans, drawings, specifications, photos, project addresses, room and quantity data, budgets, scopes, bids, contracts, change orders, selections, schedules, checklists, and progress logs.
  • Payment and draw records — draw requests, payment applications, approvals, signatures, lien waivers, invoice and deposit amounts, and payment confirmations that you or another participant enter or confirm.
  • Communications — messages you send through the Service, notification preferences and consents, and correspondence with our support team.

Information collected automatically

  • Usage and device data — log data, IP address, browser and device type, pages and features used, timestamps, and error diagnostics, collected through cookies, similar technologies, and our error-monitoring and analytics providers.

Information from third parties

  • Limited status and verification data from our payment processor and, if you choose to link a bank account, from our bank-connection provider; and public license-registry information where you ask us to look up a license.

3. How We Use Information

  • operate, provide, and maintain the Service and your account;
  • process floor plans and project documents to detect rooms, derive quantities, and generate draft budgets and scopes (see Section 4);
  • run bidding, selections, scheduling, change orders, and the draw and lien-waiver record, and make each of those visible to the right project participants;
  • bill and collect WayPoint's own fees — the general contractor subscription and the flat per-draw administrative fee;
  • send transactional notifications by email and in-app, and by SMS or voice where you have separately consented;
  • provide support, monitor errors and performance, prevent fraud and abuse, enforce our Terms, and keep the Service secure; and
  • comply with legal obligations.

4. AI Processing of Your Plans and Project Data

To provide room detection, takeoffs, scope suggestions, and draft budgets, the Service sends the documents and project data you supply — including floor plans and the text extracted from them — to third-party AI and document-processing providers that act as our processors. They process that content to return a result to us and are contractually restricted from using it for their own purposes.

We do not sell your project data, and we do not permit our AI providers to use your identifiable content to train their general-purpose models. As described in our Terms of Service, we may use aggregated and de-identified information — cost ranges, quantities, schedule durations — stripped of names, addresses, and other identifiers, to improve the Service. AI output is an estimate and requires your verification.

5. How We Share Information

  • With other participants on your project— the Service is collaborative by design. Your company profile, bids, budgets, selections, schedules, draw requests, signatures, and messages are shared with the general contractor, subcontractors, and homeowner on that project according to their role and the project's settings. Do not put information into a project that you are not willing to share with its participants.
  • With service providers (processors) — we use trusted vendors to run the Service, each processing information only to provide services to us:
    • Supabase — database, authentication, and file storage;
    • Vercel — application hosting and analytics;
    • Stripe— payment processing for WayPoint's own fees and connected-account onboarding;
    • Plaid — optional bank-account linking and verification, where you choose to use it;
    • Resend — transactional email delivery;
    • Telnyx — SMS and voice notification delivery, where you have consented;
    • Anthropic, OpenAI, and Google — AI and document/vision processing as described in Section 4; and
    • Sentry — error and performance monitoring.
  • For legal reasons — when required by law, to respond to lawful requests, or to protect the rights, safety, and property of WayPoint, our users, or others.
  • In a business transfer — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

6. Payment Information

WayPoint's own fees are processed by Stripe. Card and bank-account details are provided directly to Stripe on its secure pages; WayPoint does not collect or store full payment-card numbers or full bank-account numbers. We receive limited confirmation, status, and last-four information needed to record the transaction and support your account. If you link a bank account through Plaid, your banking credentials are entered with Plaid and are not visible to us.

Separately, and as stated in our Terms of Service, WayPoint is never a custodian of construction funds — money moves directly between the homeowner, general contractor, and subcontractor, and the Service only records it. The payment information we hold is therefore a record of what the parties reported, not a ledger of funds we control.

7. Notification Consent

Transactional email and in-app notifications are part of the Service. SMS and voice notifications are optional, require your separate affirmative consent, and are never a condition of using the Service. You can revoke consent at any time in your notification settings, by replying STOP to a text message, or by contacting us. Message and data rates may apply. We keep a record of your consent and any revocation.

8. Cookies and Analytics

We use cookies and similar technologies to keep you signed in, remember preferences, and secure the Service. We use privacy-conscious product analytics and performance monitoring to understand aggregate usage and diagnose errors. We do not use advertising cookies on the Service. You can control cookies through your browser settings; disabling some cookies will prevent you from staying signed in.

9. Data Retention

We retain your information for as long as your account is active and as needed to provide the Service. Project records — contracts, change orders, draws, lien waivers, approvals, and signatures — are retained after a project closes because they are the parties' record of the job and may be needed for warranty, tax, audit, lien, or dispute purposes. Financial and tax records are retained for the periods applicable law requires. When information is no longer needed, we delete or de-identify it. Deleted content may persist briefly in routine backups.

10. Security

We use administrative, technical, and organizational measures designed to protect your information, including encryption in transit, row-level access controls that scope data to your company and projects, scoped database permissions, and access logging. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. Keep your credentials confidential and notify us promptly at support@waypoint.construction of any suspected unauthorized access.

11. Your Choices and Rights

  • Access and update — you can view and edit most of your account, company, and project information directly in the Service.
  • Export — you may request a copy of your project data.
  • Deletion— you may request deletion of your account and associated personal information, subject to records we must retain by law or that form part of another participant's project record.
  • Communications — you may opt out of non-essential marketing messages and of SMS and voice notifications at any time; transactional messages necessary to your account will continue.

Depending on where you live, you may have additional rights under applicable privacy laws — such as the right to know, correct, delete, or obtain a portable copy of your personal information, and the right not to be discriminated against for exercising those rights. To exercise any of these, contact us using the details below. We will verify your request before acting on it.

12. Children's Privacy

The Service is intended for users 18 and older and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

13. Third-Party Links

The Service may link to third-party websites or services we do not control, including the WayPoint Marketplace at waypoint.contractors, which has its own privacy policy. This Policy does not apply to those third parties.

14. Changes to This Policy

We may update this Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice in the Service or by email. Your continued use of the Service after changes take effect means you accept the updated Policy.
